Member Terms & Conditions
These Member Terms & Conditions apply to all memberships, class bookings, and studio attendance at SOMA Club Durham. By purchasing a membership, booking a class, or attending the studio, members agree to the following terms.
1. Membership Terms & Conditions
- Payments: All memberships and class payments must be made online via the SOMA Club Durham website and/or approved booking platforms, including TeamUp and Swipe. Payments are processed automatically in line with the selected membership or class package. If a payment fails, access to classes may be temporarily suspended until payment details are updated and outstanding amounts are settled.
- Membership Freezes & Cancellations: Members may freeze their membership free of charge for up to two (2) months per membership year. Freezes beyond two months will be charged at £5 per month. Membership cancellations require a minimum of two (2) weeks’ notice. Where a cancellation request falls within two weeks of the next billing date, the following billing cycle may still be charged.
- Class Booking Rules: All classes must be booked in advance via the approved booking platform. Booking access may vary depending on membership type. Certain memberships may receive priority or extended booking access where applicable.
- Waiting List Policy: Waiting lists are capped at ten (10) people per class. If a space becomes available more than two (2) hours before class, it will be automatically offered to the next person on the waiting list. If a space becomes available within two (2) hours of class start, the next member will have 15 minutes to accept the space before it is offered to the next person.
- Membership Use: Memberships and class credits are non-transferable and may only be used by the named account holder. SOMA Club Durham reserves the right to suspend or terminate memberships in cases of non-payment or breach of studio policies.
- Membership Price Changes: SOMA Club Durham may amend membership pricing from time to time. Members will be given a minimum of two (2) months’ notice of any price increase and may choose to accept the change or cancel their membership in line with the cancellation policy.
- Studio Closures & Medical Responsibility: The studio may close temporarily for maintenance, holidays, or unforeseen circumstances. Participation in classes is at the member’s own risk. Members are responsible for ensuring they are medically fit to attend classes.
2. Late Cancellation & No-Show Policy
- Members may book into a class up to 30 minutes prior to the scheduled start time, subject to availability. Late arrival may result in refused entry for safety or class integrity reasons.
- Late Cancellations / No-Shows: First late cancellation or missed class: no charge (one-time courtesy). Subsequent late cancellations or no-shows: £5 per standard class, £10 per reformer Pilates class.
3. Refunds & Complaints
- Membership fees, class packs, and credits are non-refundable unless required by law.
- Complaints must be submitted in writing. Complaints will be acknowledged within five (5) working days, with a full response provided within ten (10) working days where reasonably possible.
4. Studio Rules & Etiquette
- Members are encouraged to arrive 10–15 minutes early, particularly for first visits.
- Mobile phones must be switched off during classes.
- Respectful behaviour towards staff and other members is required at all times.
5. Policy Amendments
- SOMA Club Durham reserves the right to update these Terms & Conditions at any time. The most current version will be available on the studio website or booking platform.
